The address firstname@yourcompany.fi inspires an entirely different kind of trust in customers than companyname123@gmail.com. In this guide we go through what email on your own domain requires, what options there are and what the whole thing costs.
Why is it worth moving email to your own domain?
- Professionalism. Your own domain in an email address shows that the company is established. A quote or invoice from a free address is more easily left unread.
- Ownership and continuity. A free service's address is controlled by the service provider. Your own domain and its addresses are yours, and you can change email provider without losing the addresses.
- Brand in every message. Every email you send reminds the recipient of your company's name and web address.
What do you need?
Email on your own domain requires two things:
- A domain name, that is a domain such as yourcompany.fi. If you do not yet have a domain, you can register one in a few minutes.
- An email service, that is a server where the mailboxes are located. This can be the email that comes with web hosting or a separate email service.
Web hosting email or a separate email service?
If your company already has a website on web hosting, mailboxes are most often included in the package. For example, all of Nordweb's web hosting packages include mailboxes on your own domain at no extra charge. This is the simplest and most affordable route.
A separate email service suits a situation where you do not need website space at all or you want to keep email separate from the site. In that case you only pay for the mailboxes and the domain points to the email server with MX records.
Is free email on your own domain possible?
You cannot get your own address entirely for free, because a domain always has an annual fee. The email part can, however, be had without a separate additional charge. When the mailboxes are included in the price of web hosting, you effectively pay only for the domain and the website space. It is worth being wary of free email services where the mailbox is limited to a very small size or the continuity of the address is uncertain.
How is email set up?
Setup is quick when the domain and email service are in the same place:
- Create the mailboxes in the control panel (for example firstname@, sales@ and info@).
- Check that the domain's MX records point to the email server. When everything is from the same provider, this is already in order.
- Make sure the SPF, DKIM and DMARC records are in place so that your messages do not end up in recipients' spam. At Nordweb these are configured for you.
- Add the account to your phone and computer using IMAP settings or use the browser-based webmail.
