Setting up an email autoresponder

Autoresponder

An autoresponder, or vacation reply, sends a ready made reply to incoming messages when you cannot answer yourself. It tells the sender that the message has arrived and when you will reply. Here is how to enable the autoresponder.

How to enable the autoresponder

  1. Log in to webmail with your credentials.
  2. Open the settings and find the autoresponder or vacation reply section.
  3. Turn the autoresponder on.
  4. Set a start and end date if the option is available.
  5. Write the reply message and save the settings.

What a good autoresponder contains

  • State clearly that you are away and when you return.
  • Mention who to contact for urgent matters.
  • Keep the message short and professional.
  • Remember to turn the autoresponder off when you return.

Example: Thank you for your message. I am away until 15 July and will reply as soon as I return. For urgent matters please contact support@yourcompany.fi.

Usually the same sender gets an automatic reply only once within a set period so messages do not pile up.

Can I schedule the autoresponder in advance?

Yes, if webmail offers a start and end date. Otherwise turn it on and off manually.
